Office manager BXL

The Office Manager will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency and safety. 

The Office Manager is responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, office staff supervision and task delegation. 

Energetic professional who doesn't mind wearing multiple hats. Experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision. Well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people.

Administrative & logistical responsibilities

  • Welcome, receive and inform clients, visitors and suppliers
  • Follow-up of incoming calls - Noting and passing on messages
  • Management of incoming and outgoing mails
  • Manage electronic calendars and schedule necessary appointments for proper operation of the structure (internal and external agreements, supplier meetings, bank meetings, etc.)
  • Support of organisation of meetings, conferences, seminars, trips and other events
  • Management of facilities
  • Stock management (office supplies, drinks, etc.)
  • Creation, adjusting and management of invoices related to offices needs

Human Resources responsibilities

Start of the welcome process and integration of a new employee (onboarding in the new offices)
Managing student and internship requests (centralizing and sending CVs to managers)
Managing staff parties, internal events in collaboration with other employees
Managing staff questions/needs related to their extra legal benefits (car, meal vouchers, etc.)
Managing absences & related certificates/insurances

Your profile

  • Proven office management, administrative or assistant experience
  • You communicate fluently in French and English. Dutch is a plus
  • You like dialogues and facilitating relationships - excellent written and verbal communication skills
  • You are autonomous, organized, precise, creative, proactive and efficient
  • Attention to detail and problem solving skills
  • You master Word, Excel, PowerPoint and Google Suite
  • Knowledge of accounting, data and administrative management practices and procedures is a plus
